This DC nonprofit is seeking an Executive Assistant/Receptionist to anchor the front office and keep a busy leadership team running smoothly. Key Responsibilities:
- Own and manage complex, shifting calendars for multiple executives, prioritizing meetings and communicating changes proactively.
- Correspond with senior leaders and external stakeholders directly to coordinate and schedule meetings.
- Coordinate the preparation, day-of and follow-up needs of internal and external meetings and events, including virtual details and tech setup, notetaking, agenda prep, and distributing follow-up materials.
- Book travel, prepare expense reports, and manage related filings and documentation.
- Support invoice and subscription processing and approvals for assigned executives.
- Maintain organized information such as records, document templates, and tracking sheets.
- Help coordinate new hire orientation logistics alongside department leads.
- Serve as the welcoming first point of contact for all visitors, vendors, and contacts, ensuring a tidy and presentable front office space.
- Partner with colleagues to keep conference rooms and common areas clean, organized, and meeting-ready. Manage incoming and outgoing mail.
- Pitch in on special projects and events as needed.

- EA proven track record. You have over ten years supporting executives or leadership teams, with a clear pattern of stepping up as trust and scope expanded.
- Academically prepared. A bachelor’s degree is required.
- Composed under pressure. You juggle competing priorities with ease and stay professional no matter how busy it gets.
- A trusted presence. You’re discreet, dependable, and comfortable handling sensitive information.
- Tech-comfortable. Proficient in Outlook, Word, Excel, and PowerPoint, and expense platforms.
- A team player. Self-motivated but always ready to lend a hand to colleagues across the organization.
- Sharp-eyed. You have strong organizational, proofreading, and follow-through skills.
The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.
