This finance firm in New York City is seeking a polished, highly capable Executive/Personal Assistant to support its Founders in a role that thoughtfully blends business support with personal assistance. This is a high-visibility position for someone who enjoys being the person behind the scenes who keeps everything moving, from managing complex calendars and coordinating international travel to partnering with family offices and handling personal logistics. You’ll work closely with a collaborative team in a fast-paced, in-person environment where sound judgment, discretion, and follow-through are essential.
Key Responsibilities:
- Manage the Founders calendars, balancing internal priorities, external commitments, board meetings, and events with minimal direction.
- Own meeting logistics from start to finish, including scheduling, room and technology coordination, materials, and follow-up.
- Arrange detailed domestic and international travel, including private aviation, hotels, ground transportation, and comprehensive itineraries.
- Prepare and process expense reports accurately and on schedule.
- Serve as a gracious point of contact for senior business contacts and other high-level stakeholders.
- Draft, edit, and proofread correspondence and other communications.
- Keep contact information and records accurate and up to date.
- Partner with the broader administrative team on office needs, visitors, meals, vendors, and shared coverage.
- Coordinate personal schedules alongside household staff and extended family contacts.
- Manage logistics across multiple residences, including vendors, appointments, and household projects.
- Assist with family scheduling, including school activities, appointments, and other time-sensitive commitments.
- Plan personal travel from beginning to end, coordinating with travel professionals and arranging accommodations, dining, activities, and transportation.
- Handle a range of personal requests, including reservations, gifting, errands, appointments, and other special projects.
- Provide occasional support for firm-wide events and other larger-scale gatherings, including limited travel as needed.

The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.
