As the Executive Assistant with this established professional services firm, you will be the steady hand behind several Principals, keeping both business priorities and occasional personal needs on track. From navigating layered schedules and coordinating travel to assisting with financial administration, investment-related transactions, and special projects, you will help leadership stay focused on the work that matters most. This position is a great fit for someone who takes pride in being helpful behind the scenes, enjoys a varied workload, and values the opportunity to build a lasting professional relationship with a team. Candidates who have a flexible schedule, access to a car for time-sensitive requests, and a genuine willingness to pitch in are encouraged to apply.
Key Responsibilities:
- Keep several Principals’ schedules running smoothly, balancing business commitments, personal appointments, meetings, and events across changing priorities.
- Arrange travel from start to finish, accounting for transportation, lodging, timing, and the details that make each itinerary work.
- Prepare and refine correspondence, reports, spreadsheets, and other materials that help leadership assess projects, review financial information, and explore new opportunities.
- Assist with the administrative side of financial activity, including invoice coordination, expense documentation, investment processing, and record maintenance.
- Help information move between leadership, colleagues, service providers, and external contacts, ensuring follow-ups and important materials don’t get lost along the way.
- Coordinate firm gatherings and take ownership of special assignments, seeing each task through with care and good judgment.
- Handle occasional personal support needs, from running errands and coordinating household matters to managing appointments and purchases.
- Anticipate day-to-day needs and step in wherever additional support will make a meaningful difference.
Why You’ll Love Working Here:
- Your days will bring a mix of executive support, personal assistance, and special projects.
- Join a friendly, collaborative team that appreciates dependable support and thoughtful follow-through.
- A competitive package. Enjoy competitive compensation and employer-paid medical, dental, and vision coverage.
What We’re Looking For:
- Proven support experience. You bring at least two years of Executive Assistant experience in a corporate or professional setting; a bachelor’s degree is preferred.
- Considerate. You approach requests with humility and a genuine desire to make other people’s days easier.
- Discerning. You can balance competing priorities, recognize what needs attention first, and use good judgment when plans change.
- Conscientious. You take responsibility for the quality of your work and make a point of getting the details right.
- Composed. You communicate confidently and courteously with people at different levels and represent leadership thoughtfully.
- Enterprising. You enjoy finding practical solutions, following through on loose ends, and improving the way everyday tasks get done.
- Available. You can accommodate a flexible schedule and have access to a car for occasional time-sensitive errands or requests.
