As the Executive Assistant/Operations Manager for this growing healthcare practice in McLean, VA, you will serve as a key partner to a busy entrepreneur while taking ownership of a broad range of business, administrative, and financial responsibilities. From managing a dynamic calendar and preparing the executive for meetings to coordinating vendors, tracking projects, and supporting financial processes, you will help keep priorities moving and the business running smoothly. This is a hands-on role for someone who enjoys variety and can move comfortably between high-level executive support and the details of day-to-day operations. The ideal candidate brings sound judgment, strong follow-through, financial acumen, and the ability to anticipate what needs attention before it becomes an issue.
Key Responsibilities:
- Manage a complex executive calendar, coordinating meetings, appointments, travel, and changing priorities while proactively identifying scheduling conflicts.
- Compose materials for meeting preparation and organize itineraries.
- Draft and refine communication, presentations, and reports on behalf of the executive.
- Monitor deadlines, and outstanding initiatives, following up with internal and external partners to keep projects on course.
- Support the executive with a variety of business operations initiatives, coordinating across internal and external contacts.
- Maintain organized systems for projects, records, contracts, invoices, business documents, and other operational needs.
- Monitor open items and take ownership of assignments from start to finish, ensuring work is completed accurately and on schedule.
- Assist with financial and accounting functions, including invoice review, expense tracking, reconciliations, payment monitoring, reimbursements, budgeting, and financial documentation.
- Create well-designed presentations, reports, and other business materials with a strong eye for clarity and visual consistency.
- Support the creation of marketing materials, website and social media, and other branded materials.
- Support special projects as needed to further grow business initiatives.
