Key Responsibilities:
- Manage and optimize intricate, high-volume schedules, resolving scheduling conflicts in real time and balancing competing priorities across multiple time zones.
- Coordinate seamless domestic and international travel itineraries, including flights, accommodation, ground transportation, visas, and detailed daily agendas.
- Triage incoming executive email and correspondence with high confidentiality, drafting polished communications, prioritizing urgent matters, and flagging action items for prompt follow-up.
- Prepare, review, and submit accurate monthly expense reports, reconcile corporate credit card statements, and track reimbursement lifecycles in compliance with firm policies.
- Brief executives ahead of key engagements by compiling briefing materials, preparing presentation decks, and organizing room reservations, A/V tech, or catering for meetings.
- Operate as a key gatekeeper and point of contact internally and externally to streamline executive workflow.
