Temporary Administrative Assistant

A distinguished finance firm in Northern Virginia is seeking a highly organized and proactive Administrative Assistant for a temporary assignment supporting its dynamic investment team. This role is ideal for a detail-oriented professional who thrives in a fast-paced, team-driven environment. From coordinating schedules to managing travel logistics and event planning, this position offers a diverse set of responsibilities, ensuring every day is engaging and unique. Key Responsibilities:
- Efficiently manage calendars and schedule meetings for investment team professionals, ensuring seamless coordination.
- Prepare and distribute meeting materials, both internally and externally, with precision and timeliness.
- Organize and execute logistics for onsite meetings, including room reservations, setup/breakdown, catering, and technology needs.
- Arrange complex domestic and international travel, including visa and passport coordination, itinerary creation, and trip logistics.
- Assist in planning and coordinating conferences and special events in collaboration with colleagues.
- Maintain organized filing systems, handle correspondence, and ensure records are up to date.
- Support expense reporting and processing with keen attention to accuracy and deadlines.
- Provide backup front desk support, greeting guests and assisting with office inquiries as needed.
- Collaborate with the senior executive assistants and provide administrative support across the team.
