Executive Assistant/Project Coordinator

Washington, D.C./Hybrid

$90,000 – $130,000

This public affairs firm is seeking a client-oriented professional who will take the reins on a variety of tasks involving business development endeavors, office functions and administrative tasks, and strategy for client portfolios. This is a fast-paced team devoted to creating meaningful support for their clients and demonstrated success through calculated planning. About the Job:

  • Execute calendar scheduling for internal and external client meetings, appointments and events.
  • Provide travel booking and planning for the leadership team with detailed itineraries.
  • Act as an active participant on projects to further business development initiatives and learn the desired target client and their needs.
  • Efficiently track business needs across spreadsheets, Excel documents and shared network systems.
  • Extend assistance to the team surrounding ad hoc administrative and projects, including event organization and preparation, presentation composing and editing, note-taking, and act as a liaison of the firm to outside stakeholders and clients.
  • Assist with a wide range of operational and executive responsibilities such as managing the office workflow.
  • Ensure alignment between leadership and the staff on internal and external projects.

About You:

  • Boots on the ground. You have 3-5 years of experience as an Executive Assistant, Special Assistant, Project Coordinator, Office Manager or equivalent collaborative role, preferably within public affairs or communications industry.
  • Strategic. You have an eye for improving processes and thinking out-of-the-box.
  • Adaptive. You quickly prioritize your tasks and adjust to an ever-changing environment.
  • Client-focused. You learn the ins and outs of your clients and team’s needs to provide the highest quality service.
  • Proficient across Microsoft Suite. You are adaptive to new technologies and navigate Word, Excel, PowerPoint and Teams productively.
