Office Assistant

Northern Virginia

$70,000 – $90,000

This financial firm is seeking an Office Assistant to be proactive and reliable assisting across a small but mighty team. This role calls for blended tasks such as administrative document editing and composing, scheduling meetings and appointments across calendars and front desk responsibilities such as creating a welcoming guest experience and managing external vendor communication. The ideal Office Assistant is malleable for their team, an attentive calendar guru and highly effective communicator.

 

About the Job:

  • Facilitate an open and welcoming experience at the front desk for guests, clients and internal staff, resolving or appropriately redirecting inquiries and requested assistance.
  • Provide scheduling execution for leadership appointments, events and meetings; provide room set-up and take-down efforts as well as meeting preparation materials.
  • Point of contact for operational tasks, communicate with external and building management contacts for office needs.
  • Maintain a clean, stocked and organized office, assessing supplies inventory and managing incoming and outgoing mail and packages.
  • Assist senior assistants with ad hoc projects, such as human resources tasks, and event coordination for small team gatherings.

About You:

  • Office experience. The ideal candidate possesses minimally 2 years’ of experience providing support in an office setting with particularly strong calendar management skills.
  • People-pleaser. You are engaging and thoughtful; your interactions with people bring a positive energy to the mix. Previous hospitality, high-touch work environments, legal or finance backgrounds are welcome.
  • Trustworthy. You can follow instructions and require no follow-up on finalizing tasks. Excellent organizational and active listening skills will serve you well in this role.
  • Service-minded. You are humble and provide polished communication and professionalism.
  • Energetic and eager. Everyone can count on you to jump in to help when needed.
