In this Facilities/Front Desk Assistant role, you will provide facilities and office operations support in a highly professional environment. By providing help wherever it may be needed, from serving as the primary point of contact for deliveries and visitors, managing office supplies, maintaining a welcoming hospitality-focused office environment, providing front desk coverage, and ensuring meeting spaces are organized and guest-ready, to coordinating additional facilities needs as they arise, this role is essential to maintaining the smooth operation and polished experience of this well-regarded firm.
The team is seeking a customer service–driven professional to support the smooth running of their beautiful office. If you possess exceptional white-glove customer service skills, are trusted to manage responsibilities with efficiency and care, and are seeking an engaging opportunity within a collaborative office, this may be the role for you!
Key Responsibilities:
- Manage busy office phone lines, warmly welcome visitors, and serve as a professional gatekeeper to the public.
- Serve as the first point of contact for deliveries and guests, monitoring those coming in and out of the office.
- Coordinate conference room reservations and ensure meeting spaces are fully prepared, managing the active conference room calendar.
- Maintain clean, organized, and professional meeting rooms and office workstations.
- Organize, file, and retrieve documents, records, and reports to support meetings and internal events.
- Assist with office events, including coordinating with vendors, scheduling and coordination of guest arrivals, communications with external contacts, and supporting onsite execution.
- Provide administrative support to the DC office team and assist with special projects and initiatives as needed.

What We’re Looking For:
- Customer service experience. A minimum of two years of experience in hospitality, retail, or a similar front desk, office services, or facilities support role. Law firm experience is a plus!
- Education. Bachelor’s degree is required.
- Energetic and proactive. You’re someone the team can always count on to jump in, take initiative, and support wherever needed.
- Office awareness. You see no ask as too big or too small and enjoy ensuring shared spaces are tidy, welcoming and organized.
- Professional presence. You will represent the firm with poise and a polished first impression.
- Solution-focused. You are flexible and always aiming to deliver exceptional support when needed.
