This is an opportunity for a proactive, detail-oriented professional who thrives in a dynamic environment and enjoys juggling both executive support and operational logistics. As the Executive Operations Assistant, you’ll provide hands-on support to several senior leaders, owning everything from calendar management to travel logistics, while also playing a key role in the daily operations of a collaborative office space. Your ability to anticipate needs, manage competing priorities, and communicate effectively will help drive the success of the entire team.
Key Responsibilities:
- Coordinate demanding, multi-time zone calendars with poise and precision. Prepare executives for meetings by organizing agendas, materials, and follow-ups.
- Draft and proofread professional correspondence and internal communications.
- Manage complex domestic and international travel planning from start to finish.
- Process monthly expenses and track travel-related costs with a high degree of accuracy.
- Manage office operations, such as supply inventory and ordering, vendor management, set-up and take-down for meetings, and ad hoc office projects.
- Organize team events, in-office meetings, and offsites. Encourage a welcoming office environment to internal contacts and external guests.
- Assist with administrative process improvements, documentation, and cross-team collaboration.
Why You’ll Love Working Here:
- You’ll support a leadership team working on high-impact issues with global reach.
- You’ll split your time between executive support and operations, keeping your workday varied and engaging.
- Highly competitive benefit offerings.
- Hybrid work model with flexibility for additional days in-office when needed is required.
- A supportive, mission-aligned foundation that values efficiency, initiative, and integrity.
What We’re Looking For:
- Reliable history. You have at least three years of experience supporting executives or senior leaders in a dynamic role balancing administrative and office support.
- Trustworthy. You understand the importance of professionalism and privacy in all aspects of your work.
- Mature. You bring a high level of emotional intelligence and sound judgment to your work, even in high-stakes or high-pressure moments.
- Prioritization is your DNA. You stay on top of the details, timelines, and logistics others may miss.
- Fluid. You can pivot quickly, problem-solve in real time, and handle the unexpected with grace.
- Google-savvy. G-suite comes naturally to you; you are confident operating across tech-programs and coordinating between in-person and remote meetings.
