Executive Assistant to Senior-level Leadership (Several Opportunities)

$65,000 – $85,000 plus overtime and bonus
As the Executive Assistant to senior-level leadership for this investment management firm, you will provide high-level support in a fast-paced environment. This firm is looking for someone who is professional, energetic, and self-motivated. You will manage scheduling and communications while working on various projects for senior executives and firm initiatives. Key Responsibilities:
- Coordinate and manage communication with internal team members, senior management, clients, and third parties, always using active listening skills and clear, professional delivery.
- Manage complex calendar scheduling and meeting coordination, including juggling multiple schedules and workloads.
- Prepare technology setups and materials for presentations and both internal and external meetings. Ensure attention to detail in grammar, spelling, and formatting.
- Assist with travel itineraries, expense reports, and maintaining client records.
- Facilitate tasks and follow-up to ensure deadlines are met and project timelines are prioritized.
- Anticipate the needs of executives and work swiftly to advance initiatives and deadlines.
- Provide additional assistance to administrative staff, C-suite leadership, and office events and projects.

What We’re Looking For:
- Experienced. You have a minimum of three years of experience reporting directly to senior management.
- Tech-savvy. You have advanced Microsoft Office skills, including Word, Excel, and PowerPoint, and are comfortable learning new software programs.
- Proactive. You can make quick decisions and work well independently with little supervision.
- Discreet. You have experience working with sensitive information regarding client information.
- Focused. Able to take on multiple projects and meet deadlines.
- Strong judgement. Able to practice discretion and communicate effectively across leadership.
