Executive Assistant to Investment Team

$125,000 – $150,000

As the Executive Assistant to the investment team at this high-intensity professional services firm, you will serve as a administrative heartbeat to the executive team. With hands-on high-level support, your day involves ever-changing calendar management, travel booking, logistics tracking, and more. The right professional is service-driven, mature in their delivery, a scrappy team player, and possessed the sixth sense to anticipate needs and troubleshoot before they are expressed. Key Responsibilities:

  • Manage complex calendars across multiple locations, balancing professional and personal commitments with precision and good judgment.
  • Plan and coordinate seamless travel itineraries, including ground transportation, accommodations, and event logistics.
  • Draft, edit, and prepare polished correspondence, reports, spreadsheets, presentations, and materials in support of business operations and special projects.
  • Assist with invoicing, investment-related processing, expense tracking, and administrative coordination to support day-to-day business functions.
  • Serve as a trusted liaison between leadership, internal staff, vendors, and external partners, maintaining professionalism and discretion at every touchpoint.
  • Support firm events and drive special projects from inception to completion with follow-through and attention to detail.
  • Provide personal assistant support as needed, including errands, purchases, household coordination, and personal calendar management.
  • Anticipate executive needs, proactively problem-solve, and ensure all moving pieces remain organized and on track.

What We’re Looking For:

  • EA Experience. You bring a minimum of two years of Executive Assistant experience in a corporate, professional environment. A bachelor’s degree is preferred.
  • A natural connector. You communicate with confidence and professionalism, building strong working relationships across teams and with external contacts effortlessly.
  • Thorough. You have great attention to detail and always double check your work.
  • Driven. You’re energetic, eager to contribute, and constantly seeking ways to improve processes.
  • Mobile and ready. You have reliable access to a car and can accommodate time-sensitive personal requests as they arise.
  • Flexible. You understand the nature of executive support and are comfortable providing responsive assistance outside of standard business hours when priorities shift or urgent needs arise.

 

The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.
