Executive Assistant/Project Coordinator to C-level Executive

Salary Flexible – Depends on Experience

As the Executive Assistant/Project Coordinator for this fast-growing company, you will provide valuable support to an agile, brilliant C-level executive.  The ideal candidate is proactive, flexible, and can conduct multiple tasks in a dynamic and fast-paced office environment. Previous experience supporting a high-level executive is a plus. About the Job:

  • Manage and maintain the executive’s calendar, carefully coordinating all aspects related to meetings, email assistance, and travel accommodations.
  • Prepare correspondence, maintain important files, and assemble all documents needed for meetings.
  • Manage strategic projects from start to finish, staying on top of changing deadlines and communicating effectively across the team.
  • Conduct research and substantive project coordination, owning tasks start-to-finish.
  • Serve as a point of contact for internal and external staff, and vendors to relay important information and keep track of critical documents.
  • Organize meeting materials, including documents, presentations, itineraries, catering, IT set-up or any related tasks for internal and external-facing meetings.

  • Experienced. You have supported executives before and are comfortable balancing multiple projects, preferably within C-suite or comparable environments.
  • Driven. You are proactive and can easily take on challenging tasks.
  • Problem-solver. Meeting tight deadlines is a priority for you, and you are able to tackle projects in a fast and efficient manner.
  • Professional. You are an excellent communicator, both verbally and in writing.
  • Communicator. You are a strong communicator and can relay important information both in person and over email.
