Administrative Assistant
Northern Virginia/Hybrid
$50,000 – $80,000 plus bonus
A renowned financial services firm in Northern Virginia is seeking a highly organized and proactive Administrative Assistant to support their dynamic client-facing team. This role is ideal for a detail-oriented, motivated professional who thrives in a collaborative and fast-paced environment. From managing schedules to coordinating meetings and events, this position offers a variety of responsibilities, making no two days the same. Key Responsibilities:
- Schedule and coordinate meetings for leaders across the department, ensuring seamless planning and preparation.
- Manage multiple calendars and communicate effectively with clients and prospects using high professionalism and polish.
- Collaborate and prepare meeting materials and distribute them internally and externally.
- Coordinate travel arrangements (domestic and international), including itineraries, visas, and logistics.
- Plan and execute onsite meetings, including room bookings, setups, catering, and technical requirements.
- Maintain the CRM database, logging and organizing data while generating reports.
- Support expense reporting, organize files, and provide backup front desk coverage when needed.

What We’re Looking For:
- Experienced. You have over three years of administrative experience and are proficient in Microsoft Office Suite.
- Organized. Your ability to manage complex schedules, competing priorities, and multiple projects is second to none.
- Resourceful. You anticipate challenges, solve problems proactively, and deliver results with minimal supervision.
- Communicative. Your written and verbal skills make you an excellent representative for the team and the firm.
- Detail-focused. Accuracy and precision are hallmarks of your work, even when handling confidential information.
- Team-oriented: You thrive in a collaborative setting, balancing initiative with a willingness to pitch in wherever needed.
