Administrative Assistant

As the Administrative Assistant with this respected policy and legal advisory firm, you will provide critical support to a team of senior professionals. This role goes beyond traditional scheduling, you’ll manage complex calendars, coordinate high-level meetings, oversee travel logistics, and act as a key liaison with clients and stakeholders. Key Responsibilities:

  • Manage calendars and scheduling for multiple senior professionals, ensuring smooth coordination of meetings and deadlines.
  • Support daily operations by preparing meeting materials, managing logistics, and arranging IT needs for in-person and virtual meetings.
  • Coordinate domestic and international travel, including itineraries, accommodations, and detailed agenda packets.
  • Serve as a primary point of contact for clients and external partners, providing responsive and polished communication.
  • Assist with the preparation of presentations, reports, and internal communications.
  • Maintain and update contact databases and confidential records with accuracy and discretion.
  • Provide additional administrative support as needed to keep projects and priorities moving forward.

What We’re Looking For:

  • Administrative polish. You have a bachelor’s degree in hand and possess over three years of professional administrative support experience, preferably in a law firm, professional services, or Capitol Hill setting.
  • Methodical. You approach tasks with structure and care, balancing speed with accuracy.
  • Confident. You are skilled in handling sensitive information with discretion and bring polished interactions with senior executives and external stakeholders.
  • Tech-forward. You are proficient in Microsoft Office and comfortable navigating scheduling systems and collaboration tools.
  • Adaptable. You are capable of working independently, adjusting to shifting priorities, and problem-solving under pressure.
