Executive Assistant/Office Manager for Finance Team

$80,000 – $120,000

This self-starter finance firm is seeking an Executive/Administrative Assistant to provide support to several entrepreneurial leaders and a growing office. This is an ideal role for a service-oriented individual displaying practiced communication skills across internal and external contacts. This firm is seeking someone who connects well with others, can juggle a lot with a sense of urgency, and manage day-to-day administrative needs in a stellar capacity. Key Responsibilities:

  • Keep an organized office space, monitoring office supplies and inventory, and general operational needs.
  • Interact with visitors, clients, and internal staff, assisting with requests and following through on action items. Provide a welcoming experience to all those you communicate with via receptionist coverage.
  • Provide scheduling and coordination for meetings and appointments across the team, including travel booking and accommodations.
  • Assist current office operations functions and adopt new systems when necessary.
  • Diligently compose and edit documents, letters, reports and spreadsheets for internal needs; maintain accurate hard copy and e-filing processes.
  • Support staff members with special assignments and project management tasks as needed, including event planning and execution, onboarding/offboarding needs, and building vendor management.

What We’re Looking For:

  • Experienced. The ideal candidate has at least five years of previous experience performing administrative support to several leaders. Candidates with prior finance, hospitality, or events experience are encouraged to apply!
  • Team-oriented. You thrive in a collaborative setting, balancing initiative with a willingness to pitch in wherever needed.
  • Efficient. You are organized managing multiple tasks at once and know how to efficiently prioritize your day.
  • Personable. You deliver on your projects using quality customer service to internal and external contacts.
  • Computer savvy. You are confident across MS Office and consider yourself technically advanced.
  • Motivated. You enjoy working hard and view every challenge as a chance to prove yourself.
